Privacy policy

What data the service holds, why, who else sees it, and what you can do about it.

1. What we collect

  • Your account: your name, email address and password (stored only as a one-way hash), and the people you invite to your workspace.
  • Your workspace: company name, logo, report colours and the email settings you choose.
  • Businesses and scans: the businesses you add or find (their public listing details such as name, address, phone and website), the keywords you track and the results of every scan.
  • Leads: when a visitor fills in a form on a website you built with ProfitMaps AI, what they send (typically name, email, phone and message) is stored in your workspace for you.
  • Email activity: outreach and follow-up emails you send, and whether they were delivered, opened, clicked or unsubscribed from.
  • Technical data: IP address, browser and request logs, used to keep the service secure, limit abuse and fix errors.

2. How we use it

Only to run ProfitMaps AI for you: to sign you in, run scans, produce reports and content, send the emails you ask for, show you your leads, bill for your plan and help when you contact us. We do not sell personal data, and we do not use it for advertising.

3. Services that receive some of it

Some work is done by other companies on our behalf. Each receives only what its job needs:

  • Google Maps and Places: business searches, listing details and map images.
  • DataForSEO: the keyword and map location of each scan, to fetch search rankings. No personal data.
  • Mailgun and Resend: email addresses and message content of the emails the service sends.
  • The website builder: your business details and page content, to build and host your websites.
  • The AI account you connect (such as Anthropic or OpenAI): the business details and instructions needed to write text for you.
  • Our checkout and account-management providers: your purchases, plan and sign-in records.
  • Hosting, database and error-monitoring providers that run the service itself.

We may also disclose data where the law requires it.

4. Data about other people

Leads, prospects and client contacts in your workspace are your data about your contacts. You decide what to collect and why, and you are responsible for having a lawful reason to contact them. We process it only to provide the service to you. Every outreach and follow-up email carries an unsubscribe link, and we stop sending to anyone who uses it.

5. Cookies

We use only the cookies the app needs to work: one that keeps you signed in, and one that remembers which workspace you have open. Your light or dark theme choice is kept in your own browser. There are no advertising or tracking cookies.

6. How long we keep it

For as long as your account is open. A client workspace you archive is deleted, with everything in it, 90 days later. When you ask us to close your account we delete its data, except records we must keep by law (such as purchase records) and backups, which expire on their own schedule.

7. Security

Data travels over encrypted connections. Passwords are hashed, and keys you give us for other services are encrypted before they are stored. Access within ProfitMaps AI is limited to people who need it to run and support the service.

8. Your choices and rights

You can see and change most of your data in the app at any time. You can also ask us for a copy of your data, to correct it, or to delete it; depending on where you live you may have further rights, including to complain to your data protection authority. To make a request, use the Support page.

9. Children

ProfitMaps AI is a business tool and is not meant for anyone under 16.

10. Changes to this policy

If we change how we handle data we will update this page and its date, and tell you by email or in the app before a significant change takes effect.
